Members and Notion Identity
Members are Discord users who can access a NotiCord subscription. A Notion identity link is optional for member access, but required for Notion-powered personal features.
What needs a Notion identity link
| Feature | Why the identity link matters |
|---|---|
| is me page-list filters | Matches the Discord runner to a Notion person |
| Assign to me | Updates People properties with the clicker |
| Assign teammate | Lets a Discord picker target a teammate in a People field |
| Notion-person mentions | Turns visible Notion people into Discord mentions where supported |
| Comment mention DMs | DMs the matched Discord user after a new Notion comment mention |
Notification-rule direct messages can target any approved member. They do not require a Notion identity link.
Owner identity
If you connected the Notion workspace during setup, your own Notion identity is linked automatically.
If that automatic link is missing, open Settings -> Notion Identity Link and link it again there.
How team members get access
Owners and admins manage team members from Members under Account.
Add a Discord member
- Choose Add member.
- Select Discord member, search for someone in the connected Discord server, and choose Member or Admin access.
- Add the member. NotiCord does not send an email for this path; the person can sign in with Discord after access is added.
Approve a Discord request
- The team member runs
/link-accountin Discord, or uses Join as member during setup when their chosen Discord server is already connected to this subscription. NotiCord emails the subscription owner that a request is waiting. - An owner or admin opens Members, chooses Member or Admin access, reviews any preselected Notion identity suggestion, and approves the request.
Request emails to the subscription owner use the owner's Warning notifications email preference and include unsubscribe and email preferences links.
A request can be approved without a Notion identity link. The member can sign in and use subscription access immediately, while Notion-powered personal features stay off until an identity is linked.
When a setup request includes a Notion identity suggestion, NotiCord only preselects it after confirming that the Notion user exists in this workspace and is not already linked or invited.
Link an existing member later
- Open Members.
- Find a member that shows No Notion identity.
- Choose Link identity, select the matching Notion user, and confirm.
NotiCord links the existing Discord member directly. The member does not need a new invite link.
Invite a Notion user by email
- Choose Add member, then Notion email invite.
- Choose the Notion person to invite.
- Choose Member or Admin access.
- Send the invite. NotiCord emails the selected Notion user, so the Notion user must have an email address available in Notion.
- The invitee signs in with Discord from the invite link, and NotiCord adds them as a member linked to that Notion person.
Access roles
| Role | What they can do |
|---|---|
| Owner | Manage billing, API keys, setup connections, members, workflows, and account deletion |
| Admin | Manage workflows, members, connection status, and server Notion-link previews |
| Member | Use subscription access, direct-message destinations, and optional Notion-powered personal features when their Notion identity is linked |
When admins or members sign in to the app, they can switch between subscriptions they can access. They can also start their own separate subscription if they want a workspace of their own.
How identity links are removed
- Subscription owners and admins can remove team-member Notion identity links from Members. Removing the identity link does not remove member access.
- The subscription owner can remove their own personal Notion identity link from Members or Settings -> Notion Identity Link.
- Admins cannot remove the subscription owner's Notion identity link.
- Removing a personal identity link does not disconnect the shared Notion workspace.
How member access is removed
Owners and admins can remove non-owner members from Members, except for the Discord user who installed the shared Notion workspace connection. Removing a member removes their subscription access and Notion identity link. Any notification rule or scheduled summary that sends direct messages to that member is paused until an owner or admin chooses another member.
Comment mention DMs
When a member with a Notion identity link is explicitly mentioned in a new Notion comment, NotiCord can send that person a Discord DM summary.
This works only for members with a Notion identity link, does not DM the comment author about their own mention, counts toward notification usage, and does not backfill older comments. Owners and admins can manage this setting in Members; each member can also manage their own setting from their member home.
